Inside Zelqentra

The working system,
explained clearly.

The descriptions below reflect implemented Care & Safety features in release 61.

Actual screenshots and recorded walkthroughs are being prepared.

Capture is currently blocked. We have not substituted generated screens or demonstrations. The feature directory and workflow below are explanations, not recordings of the app.

Five areas. A connected care record.

Useful detail, where your team needs it.

01Clients

Know the person. Keep care connected.

Bring profiles, communication preferences, consent, plans, goals and continuity information together. Record daily notes and handovers beside individual risks and safeguards.

Explore clients

Client profiles support photos and private documents, authorised representatives, support reviews, health escalation, emergency continuity and hospital handovers. Access follows company membership, role and assignments.

02Houses

A clearer picture of shared living.

Record house risks, safety checks, equipment faults, resident consultation and shared-living safeguards. Keep emergency plans and evacuation drill records together.

Explore houses

House records include environment, equipment and staffing safety information, infection prevention, cleaning and waste checks. Missing checks are not inferred unless an expectation is configured.

03Incidents & Concerns

From a concern to a documented response.

Record incidents, near misses, safeguarding concerns and complaints. Managers investigate, assess reportability, record participant follow-up and manage corrective actions.

Explore incidents & concerns

Witness statements, private attachments, external notification tracking, complaint reviews and manager-controlled corrective actions are available. Completion verification and later effectiveness reviews are separate. An external notification record does not submit anything to the NDIS Commission.

04Training

Keep learning and evidence in view.

Record induction, policy acknowledgements, training evidence, certificates, participant-specific competency assessments and review dates.

Explore training

Certificate evidence and assessment records retain dates and history. Current policy versions can be linked to acknowledgements. Percentages use documented applicable assignments; a missing requirement is not invented.

05Safety Overview

See what needs attention next.

Managers see priority queues, incident and complaint trends, risk distributions, corrective actions and documentation gaps. Workers see their own assignments and recording tasks.

Explore safety overview

Manager views include date and subject filters, equal-period comparisons, initial/residual risk cells, due effectiveness reviews and permitted CSV exports. Missing definitions display Not configured, and unavailable data is labelled. Dashboard expiry information is available; scheduled expiry email sending remains paused.

Specialist pathways, activated where relevant

Medication administration, omissions/refusals and PRN outcomes; mealtime support; high-intensity care; behaviour observations and restrictive-practice records; and participant money/property transactions. Clinical instructions must come from appropriately authorised practitioners. Manager approval does not replace clinical or statutory authorisation.

How the records connect

A concern is the start
of a documented response.

A workflow explanation. The actual recorded example remains pending.

  1. Report a concern

A worker records facts, immediate actions and the relevant client or house.

  2. Manager review

An authorised manager investigates and records decisions and reportability assessment.

  3. Review safeguards

Link the relevant risk and review safeguards through the existing approval workflow.

  4. Follow up

Record participant contact, corrective work and an effectiveness review where appropriate.

  5. Retain evidence

Keep supporting files, authors, dates and change history. Export permitted saved records.

These are user-led steps. The system does not make automatic clinical decisions or lodge external notifications.

Evidence and accountability

Support your processes.
Keep decisions traceable.

Structured records, ownership, review dates, retained history and exports can help providers prepare evidence and follow up on concerns.

  • Zelqentra does not guarantee compliance or audit outcomes.
  • Recording an external notification does not submit it to the NDIS Commission.
  • Providers retain responsibility for care quality, consent, clinical and statutory authority, and reporting.
  • Zelqentra is independent and is not endorsed by the NDIA or NDIS Commission.

Documentation gaps are prompts for review, not automatic findings of noncompliance.

A few practical answers

Before you get started.

Who is Zelqentra for?

Care & Safety is designed for NDIS provider organisations and their administrators, managers and support workers. Relevant specialist sections are activated for the supports being delivered.

Do workers and managers have different access?

Yes. Workers record care and concerns and use relevant assigned client and house information. Managers and administrators review risks, investigate cases and manage corrective actions. Server permissions apply to records, downloads and exports.

How are company workspaces separated?

The existing account flow creates a unique organisation workspace. Each request checks current membership and role, with scoped records and private file access. Staff join through authorised invitations; an email domain or matching ABN does not grant company access. Isolation has isolated API tests; live multi-company browser verification remains outstanding.

What is included during early access?

The implemented Care & Safety tools across Clients, Houses, Incidents & Concerns, Training and Safety Overview, plus Help, Start Here and support tickets. Access is free during early access. No card details, automatic charges or automatic paid conversion. Operational checks are still in progress; availability may change.

Can we import existing information?

Authorised managers can preview and import supported shared client, house and staff directory rows, up to 100 rows per batch. Imports do not grant company membership. This is not a full migration service for historic care notes, incidents or documents.

What help and onboarding are available?

Role-specific searchable Help, draft downloadable manuals, Start Here walkthroughs and technical support tickets are implemented. AI help is configured but successful live responses remain blocked by API billing at the last verification. Help and tickets work independently of AI. Manual screenshots are still pending.

Can we export records?

Permitted users can use existing record exports and incident audit packs; managers can export the filtered Safety Overview. Exports respect current company access and server permissions. They contain saved evidence and do not certify compliance.

How do we create a business account?

Select Create your business account. Sign in or create your user account through ChatGPT, enter essential company and administrator details, accept the terms and acknowledge privacy, then verify the work email using its code or confirmation link. Your unique private company workspace activates Care & Safety and opens the setup checklist. Staff must use their administrator’s invitation. Existing users can log in. Interrupted setup can be resumed; unavailable email service is shown explicitly.

Are reminder emails available?

Saved expiry and review dates are visible inside the app. Scheduled reminder email sending is paused while organisation-scoped service integration is completed. Do not rely on email alerts to meet a deadline.
